Archiving and Manuscript Withdrawal Policy

Journal of Emerging Educational Studies (JEES) implements rigorous protocols for long-term digital preservation and manages manuscript withdrawal requests with strict adherence to academic publishing integrity and COPE standards.

1. Digital Archiving & Preservation Policy

To ensure that all published research remains permanently accessible and preserved for future generations of scholars, JEES utilizes distributed archiving networks. In the event that the journal ceases publication, these repositories guarantee that the content remains publicly available without loss.

  • LOCKSS System: JEES utilizes the LOCKSS (Lots of Copies Keep Stuff Safe) system to allow participating libraries to create permanent archives of the journal for preservation and restoration purposes.
  • CLOCKSS System: The journal also partners with the CLOCKSS (Controlled Lots of Copies Keep Stuff Safe) initiative, secure in a distributed archiving system across leading global research libraries.
  • PKP Preservation Network (PKP PN): As an Open Journal Systems (OJS) user, JEES is digitally preserved through the PKP Preservation Network, ensuring the secure and automated archiving of the journal's full-text metadata.
  • Self-Archiving: In full alignment with our Open Access & Licensing Policy, authors retain the right to self-archive the publisher’s final PDF version of their articles in institutional repositories or personal academic profiles (e.g., ResearchGate, ORCID) without any embargo period, strictly under the CC BY-NC 4.0 license terms.

2. Manuscript Withdrawal Policy (Pre-Publication Phase)

Authors have the right to request the withdrawal of their manuscript only during the pre-publication phase—specifically while the manuscript is undergoing initial editorial screening or active double-blind peer review.

  • The Protocol: Authors must submit a formal, written "Manuscript Withdrawal Request Letter" via email to the Editor-in-Chief. This document must be signed by all co-authors and must clearly state the comprehensive and valid reasons for the withdrawal.
  • Editorial Evaluation: The Editorial Board will review the request within 14 business days to ensure no ethical breaches (such as duplicate submission attempts) are involved. Manuscripts are not considered officially withdrawn until the Editorial Board sends a formal confirmation.
  • Ethical Obligation: Authors are strictly prohibited from submitting their manuscript to another journal before receiving the official, formal withdrawal approval from JEES.

3. Article Retraction Policy (Post-Publication Phase)

Once an article is formally published online and assigned a Digital Object Identifier (DOI), it becomes a permanent part of the scholarly record. Consequently, it cannot be withdrawn, deleted, or removed from the journal website upon the author's simple request.

JEES strictly adheres to the COPE Retraction Guidelines. A published article will only be subject to a formal Retraction or Correction notice under the following severe circumstances:

  • Clear evidence of unreliable data, data fabrication, falsification, or honest scientific miscalculation.
  • Proven plagiarism, redundant/duplicate publication, or failure to disclose major conflicts of interest.
  • Unethical research practices or failure to secure proper Research Ethics Committee approval.

In such cases, the article metadata and PDF file will remain on the website to maintain archiving history, but the document will be clearly watermarked as "RETRACTED" and will be accompanied by an official Retraction Note detailing the reasons. Indexing databases (including DOAJ) will be updated immediately regarding the status.
